Set Up Soliven Front Desk
Turn on the AI receptionist on your own line, tell it about your business, pick its voice, let it book estimate visits, and review its calls.

Soliven Front Desk is a paid add-on ($149/mo, includes 250 receptionist minutes a month) that answers your line with an AI receptionist. It captures who called and what they need as a lead, takes callbacks for the office, recognises existing customers, and can book estimate visits from your estimators' real calendars. It needs the Sales Pipeline add-on, because leads and follow-ups are where the calls land.
What the receptionist never does
It never quotes a price unless you allow ranges, never promises a clock time, never reads a balance out loud, and never changes a visit on its own. Those all go to you. What the receptionist can and cannot do has the full list.
Turn it on
Add the add-on
Open SettingsBilling and add Soliven Front Desk. It appears once Sales Pipeline is on the account. Pilot accounts may have it granted by OpsVara instead.
Get your line
OpsVara provisions a Front Desk number for you during setup. It shows under Your lines on SettingsFront Desk. Forward your existing number to it when nobody picks up, or all the time, from your phone carrier.
Tell it about the business
Under What your receptionist knows, fill in the company name as spoken, your service area, what you do in your own words, and any facts callers should hear. Choose whether it may share price ranges, when it transfers to a person, how it discloses that it is automated, and the greeting style. The preview shows the opening line before a caller hears it.
Pick the voice and name
Under Your lines, choose a voice from the catalogue and the name it answers with. The change applies on the next call.
Let it book estimate visits
Under Estimate visits, turn on Let the receptionist book them. This is the same switch as the Estimate Visit work type under Work Types.
- Who counts as an estimator. Active team members with the Estimate Visit skill. If nobody has the skill yet, company admins are used. Days come from their weekly hours and time off, minus the visits already on their calendar, and territories narrow the pool when the address is known.
- What callers hear. Up to three open days as "Tuesday morning or Wednesday afternoon". Never a clock time, and never today.
- Existing customers are booked on the spot as an unassigned Estimate Visit job on their first site. They get the Estimate visit booked email or text from SettingsCustomer Notifications, and the usual pre-visit reminder the day before.
- New callers are saved as a lead with the day they asked for. On Sales and BillingLeads the lead shows Estimate visit requested with a Convert & schedule button. One click creates the customer, the site, and the job, and tells them they are booked. Pick another open day from the list first if the requested one no longer works, or Dismiss the request.
- The public booking page. The card shows a link you can put on your website. Visitors see the same open days, leave their details, and request a day the same way; you confirm it from the lead.
Review the calls
Calls on the Front Desk tab lists every call to your lines with the transcript when the receptionist answered. Each call is scored automatically for how natural it sounded, whether it reached the right outcome, and whether it said anything it must not (claimed to be a person, quoted a price, promised a time). Filter by Needs attention to see only the calls that scored badly, read the transcript, and Mark handled. Callback requests also reach the office as notifications that open the call.
Minutes and the cap
The tab shows receptionist minutes used this calendar month against your cap. When the cap is reached, the line keeps answering: it rings your forward number, or takes a voicemail and texts the caller back, until the next month. Overage billing arrives with Phone & Texting.
Frequently asked questions
Do I need a new phone number?
Yes, a Front Desk line is a number OpsVara provisions for you. Keep your existing number and forward it to the new line when nobody picks up, or all the time. Nothing about your current number changes.
Can it see my customers' accounts?
It recognises a caller by the number on file and can say their first name, their next visit day, and whether they have an active plan. Anything about money goes out as a secure text link to that number, never spoken. Changes to a visit or a plan become a callback for you.
How does booking work for someone we do not know yet?
The receptionist saves them as a lead with the day they asked for. Nothing is on the calendar until you click Convert & schedule on the lead, which creates the customer and the Estimate Visit job and tells them they are booked.
What happens when I hit the monthly minute cap?
The line keeps answering, but your team or voicemail picks up instead of the receptionist until next month, and callers still get the missed-call text if you use it. The Front Desk tab shows minutes used.
Does it have to tell callers it is automated?
That is your call, and some states or industries require it. The default is to say so plainly when a caller asks. You can also have it announce itself in the greeting, or only say so when pressed.
