Record Pesticide Applications

What a pest technician records for each product applied, what OpsVara fills in for you, what the customer receives, and how to export the application records.

Every product a technician logs from Inventory on a pest visit is kept as a pesticide application record: the product and its EPA registration number, the amount, the rate or dilution, the target pests, the areas treated, the method, who applied it with their license number, and the re-entry interval. That is the set of fields state rules such as Texas 4 TAC §7.144 ask for, and the customer can get their copy after every visit.

The record is kept on the General Pest, Rodent Program, Mosquito, Termite and Service Call work types.

Before you start

  • Inventory is on. The record is kept only for products logged from Inventory. Inventory is included on Crew and up; Launch does not include it.
  • Your products are in Inventory with their label data. The EPA registration number comes from the EPA number on the inventory item, or from the product it is linked to when the item has none. The active ingredient and re-entry interval come from the product.
  • Each technician has a license number. Under SettingsTeam, open the technician and fill in Applicator license #. The field shows for Pest Control companies; it sits next to the Licensed applicator checkbox.

What the technician records

  1. Answer the visit's Target Pests and Areas Treated

    On Work Details, the technician picks the visit's Target Pests and Areas Treated. These become the starting answer for every product on the visit, so most visits need no retyping.

  2. Log each product from Inventory

    On the Materials step, under From Inventory, the technician adds each product and its quantity. Each product then asks for:

    • Target Pests — starts with the visit's answer; change it when one product went on a different pest.
    • Areas Treated — starts with the visit's answer; change it per product.
    • Rate / Dilution — free text, for example "0.5% dilution" or "1 oz per 1,000 sq ft".
    • Method — Spray, Crack & Crevice, Bait, Granular, Dust, Aerosol, Fog / Mist, Trench & Rod or Other.

    Termite visits have no visit-level Target Pests or Areas Treated, so on a Termite visit the technician types them for each product, separated by commas.

  3. Tap Next

    The products are logged when the technician leaves the Materials step, and any still on the list are logged at checkout.

What OpsVara fills in

When a product is logged, OpsVara copies these onto it:

They are copied at the moment of logging, not looked up later. If you correct a product's EPA number or a technician renews their license next month, records already logged keep what was true when the product went down — which is what a record is for. Fix the source first, then log new applications.

Other Materials are not a record

The Other Materials list on the same step is free text for anything you do not stock in OpsVara. It is saved on the visit as written, but it is not part of the application record, the customer's record or the export. Log pesticides from From Inventory.

What the office sees

Open the visit and go to Products Applied. Each product shows its quantity and who applied it, followed by EPA Reg. #, Active Ingredient, Target Pests, Areas Treated, Rate / Dilution, Method, Applicator License # and Re-entry Interval — whichever the product has. The printed Job Visit Summary shows the same fields under each product.

What the customer receives

  • The visit email lists each product applied with its amount and target pests, and, when the product label gives a re-entry interval, how long to keep people and pets off treated areas.
  • The Pesticide Application Record is a PDF of the visit's record. It is attached to the visit summary email, and the customer can also download it from the visit in the customer portal.

Both are set per work type under SettingsCustomer Portal, and the visit email follows the same settings as the portal. Products used controls the product list. Application record PDF controls the PDF: when it is on, the PDF is attached to the email and offered in the portal; when it is off, the customer gets neither.

If the PDF cannot be produced when the email goes out, the email is still sent, without the attachment, and the customer can download the PDF from the portal.

Export the records

  1. Open Reports

    Go to Reports. The Pesticide Application Records (CSV) card is on Overview, and also at the top of Chemical & Inventory Usage when you have Advanced Reporting. Reports are open to company admins and office managers.

  2. Pick the dates

    Set From and To. Both days are included.

  3. Click Download CSV

    The file has one row per product applied: the date, customer, property and address, work type, job number, product, EPA registration number, active ingredient, amount and unit, rate, target pests, areas treated, method, applicator, license number and re-entry interval in hours. A range with no applications downloads the header row only.

The export is not part of Advanced Reporting: it is your legal application record, so every plan that keeps the record can download it.

Verify it worked

  • Complete a General Pest visit with one product logged from Inventory, then open the visit's Products Applied: the product shows its EPA Reg. # and Applicator License #. If either is missing, fill in the inventory item's EPA number or the technician's Applicator license # and log the next application.
  • Download Pesticide Application Records (CSV) for today: the visit's product is one row.

Frequently asked questions

Which pest work types keep the application record?

General Pest, Rodent Program, Mosquito, Termite and Service Call. WDI Inspection, Special Project and Estimate do not; products logged on those visits are kept as ordinary usage only.

Why does a product the technician typed under Other Materials not appear in the export?

Only products logged from Inventory are kept as an application record. Free-text materials are recorded on the visit as written and are not part of the record or the export.

The license number is blank on a record. How do I fix it?

Add the technician's number in Applicator license

Is the export part of Advanced Reporting?

No. The Pesticide Application Records (CSV) export is included with every plan that keeps the record, because it is your legal application record.

We are on Launch. Can we keep the record?

Not as a structured record. The record is kept on products logged from Inventory, and Inventory starts on Crew. On Launch, technicians can still list products as free-text materials on the visit.

Does the customer get the Pesticide Application Record by email?

Yes. When Application record PDF is on for the work type under Settings → Customer Portal, the PDF is attached to the visit summary email and can also be downloaded from the visit in the customer portal. Turn it off and the customer gets neither.
