Manage Site Permits

Site Permits tracks the regulator-issued record on a lake site — permit number, year, issuing authority, issue and expiry dates, fee, treatment dimensions, and a scanned document. It is not the customer-signed Permit Approvals workflow. Pool, lawn, and generic companies do not get this tab.

   Open the list

   Go to DirectoriesSite Permits. Click New Site Permit, pick the catalog lake, then the customer lake site. The add page says Choose the lake this permit applies to (ponds are not permitted).

   Fill the regulator record

   Required is Permit number. Set Status to Draft, Pending, Active, or Archived. Expired is computed from the expiry date — it is not a choice in that list. Year, Issuing authority, Issue date, Expiry date, fee, and treatment dimensions are optional. Click Save permit. Office-tier roles can edit; others see You can view this permit; only admins and office staff can edit.

   Upload the scan

   Under Uploaded permit document, click Upload document (or Replace document). Accepted files are PDF, JPEG, PNG, and WebP. This save is separate from Save permit. Empty copy is No scanned permit on file. Upload the regulator's PDF (or a photo of the paper permit) so it's one click away during an inspection. Permit document link is a different field for an https:// URL.

Past Seasons and sibling sites

Past Seasons appears only after history exists. The helper is Archived automatically when a new permit number or season is saved. Read-only. Changing number or year snapshots the previous identity. Editing the same number and year does not. Archived as a status is different — it hides the row from the default list until you change status.

When other active lake sites share the same permit number, the detail page shows Also on this permit: as chips. Saving Draft, Pending, or Active with a number copies that status to those siblings. On a grouped list row, Update Permit writes the shared fields to every site on that row.

Site page and the customer portal

On a lake site, Overview lists permit facts and Permit details →. Empty is No permit on file. Customers with a permit number on file can read Site Permits in the portal (number, year, issued, expires, and lakeshore/lakeward when present). They cannot upload, change status, or see Past Seasons.

If Permit Approvals is on for your company, the site permit may show Signed Permit Applications with a link to DirectoriesPermit Approvals. Recording regulator approval there can write the number, dates, and Active status back onto this Site Permit.

Verify it worked

Open DirectoriesSite Permits and find the lake site. Status matches what you saved (or Expired if the expiry day has passed). View uploaded document ↗ opens the scan. A second site with the same number appears under Also on this permit:.
