Track Season Sign-Ups Across Your Company

See who has signed for the season, who has a quote out, and when each renewal should go out — with or without saved routes — then resend open quotes or start a renewal campaign.

Updated October 11, 2026

Sign-Ups answers one question for the whole company: of the customers you expect this season, who has signed, who has a quote waiting, and who still needs to be chased. It works whether or not you build saved routes. It is on every plan, for office staff and admins.

Check the Season

  1. Open Sign-Ups

Go to Office OpsSign-Ups. The four tiles at the top read Signed Up, Quote Out, Not Signed Up, and Renewals — how many of last season's customers are back.

  2. Pick the season

Use Season. It opens on the season you are signing customers up for: once this season's window has closed (a lake season on October 1), it moves to next year. The season marked (next) is next year's.

  3. Narrow it down

Work Type limits the list and the tiles to one kind of work. Search finds a customer or a site. The buttons — All, Not signed up, Quote out, Signed up — filter the rows without changing the tiles.

  4. Read a customer

Each customer shows 2 of 3 signed up, then one row per site and work type with its status, the evidence (the contract and its dates, or the quote and what happened to it), and its value. The evidence is a link to the contract or quote.

The statuses are the same ones Saved Routes uses, so a site reads the same on both screens:

StatusWhat it means
Signed upA contract for this site and work type covers the season.
Quote outNo contract yet, but a quote for the season was sent and has not expired. Viewed means the customer opened it.
Not signed upNeither. The detail says why: no quote yet, the quote was declined, expired, or is still a draft, the contract was cancelled, or an automatic renewal did not run.

On contract in 2026 marks a renewal rather than a new customer.

See When Renewals Go Out

The Renewal column says what happens next with each contract. On a Signed up row it is the renewal of that contract, for the season after; on a row that was on contract last season, it is last season's contract.

Renewal readsWhat it means
Ends Dec 31 · send by Nov 1Not due yet.
Send by Nov 1 · 12 days (amber)Due — the send-by date is 14 days away or less.
Send by Oct 1 · 10 days late (amber)The send-by date has passed and no renewal quote is out.
Renewal quote outA quote for the next term is waiting on the customer.
RenewedThe next term is signed.
Renews automatically Dec 17 · 67 daysAn Ongoing plan. It renews itself on that date — nothing to send.

New customers with no contract yet show nothing in the column.

The send-by date is the contract's end date minus Send Renewals for its work type — 60 days unless you change it. To change it, open SettingsWork Types, pick the work type, and under Service terms set Send Renewals to between 7 and 180 days before a contract ends. The field shows for work types that offer Seasonal or Annual terms.

Ongoing plans renew through Renew Ongoing Plans in SettingsAutomations, 14 days before they end. With that automation off, or on a plan whose renewal was stopped, the row gets a send-by date like any other contract.

Start a Renewal Campaign

  1. Pick one work type

Set Work Type to the work you are renewing. With All Work Types, the button is off and says Pick one Work Type first.

  2. Start the campaign

Press Start Renewal Campaign (8). The number is how many customers have a renewal due or late inside the current Work Type and Search. Automatic renewals and renewals already quoted are not counted.

  3. Finish it in the builder

The quote campaign builder opens on Renew Last Season’s Customers, with the work type set and those customers already picked. Check the season, pricing, and message, then send it from the builder — nothing goes out from Sign-Ups.

Email Open Quotes Again

  1. Select the quotes

Press Quote out, then tick the quotes to send again, or use Select all quotes that can be resent.

  2. Resend

Press Resend, then Resend Quotes. Each customer gets the same quote email again.

  3. Check what was skipped

The banner reads Resent 12 quotes. Skipped 2. and lists each skipped quote with the reason, such as no email on file.

The earlier link can stop working

Resend works like Resend on the quote page. When your company shows quotes in the customer portal or by text, the quote gets a new link — the link in the previous email stops working — and its follow-up emails start over from the first step. When quotes go out by email only, the customer gets the same link again. Texts are never sent from here.

Resend needs quote email turned on. In SettingsCustomer Notifications, set All Customer Notifications to Enabled and turn on email for Quote sent. Otherwise nothing is sent and the screen says so.

A quote that was sent or resent in the last 3 days is skipped, so a customer is not emailed twice in a few days — even if two people press Resend at the same time.

Chase the Rest

Press Not signed up, then Download CSV. The file lists each row still showing — customer, site, work type, status, reason, whether they were on contract last season, and the Renewal, Send By, and Days Left columns. Rows with no quote cannot be resent; build a renewal quote for them from the customer, or with Start Renewal Campaign.

  • Sales and BillingCampaigns → Quotes → Season Sign-Up Board tracks one sign-up packet campaign with a respond-by date.
  • Dispatch → Saved Routes → Sign-ups shows the same statuses route by route.

Frequently asked questions

When should we send renewals?

By the send-by date in the Renewal column — by default 60 days before each contract ends. Change it per work type with Send Renewals under Settings → Work Types → Service terms. A row turns amber 14 days before its send-by date.

How do Ongoing plans renew?

By themselves. While Renew Ongoing Plans is on in Settings → Automations, next year's contract is created 14 days before the old one ends, and the Renewal column reads Renews automatically with that date. There is nothing to send. If the automation is off or the plan's renewal was stopped, the row gets a send-by date like any other contract.

Who is on the Sign-Ups list?

Every site and work type that had a contract counting for last season, has one for the season you picked, or has a quote for that season. A customer or site you switched to inactive is left off unless they still have a contract or an open quote.

Why can't I tick a quote to resend it?

Only open quotes can be resent — sent, not yet accepted or declined, and still inside their Valid Until date. A quote sent or resent in the last 3 days shows **Can resend** with the date it clears. A quote that was never shown to the customer shows **Share it from the quote first**.

Does Resend send a text too?

No. Resend from Sign-Ups is email only, even when the quote's own Resend would also text the customer.

A pool customer shows Signed up but nothing has been renewed yet.

Their contract is Ongoing and renews itself shortly before it ends, so the row is tagged Renews automatically. It reads that way only while automatic renewal is on and the customer is active.

How is this different from the Season Sign-Up Board?

The Season Sign-Up Board tracks one sign-up packet campaign — printed or emailed packets with a respond-by date. Sign-Ups covers every customer, however they were quoted, including renewals you have not quoted yet.
