Run a Marketing Email Campaign

Write one email and send it to a segment of your customers, with the list staged for review, unsubscribes honored, and a pre-send checklist before anything goes out.

A marketing email campaign sends one plain-text email you write to a segment of your customers. Use it for seasonal announcements, a new service, or a referral offer. At the end you will have a list staged, checked, approved, and sent, and a page that shows what was delivered.

Before you start

  • Marketing email switched on. Under SettingsCustomer Notifications, Marketing email must have email enabled, or the pre-send checks will stop you.
  • Room under your daily limit. Each company can create a set number of marketing campaigns per day. The first step shows how many you have used.

1. What & When

Open Sales and BillingCampaigns, choose the Marketing tab, and click New Marketing Campaign.

Where Things Stand counts active customers with an email, addresses that have unsubscribed (always skipped), and campaigns created today against your limit. The name follows the subject line until you type one. Customers never see it.

2. Which Customers

The banner at the top shows how many emails will send and updates as you change anything. Customers narrows by list, customer type, work type agreement, tags, exclude-tags, and years. Hand-Pick Customers narrows further, and Recipient Cap stops after that many customers, alphabetically. The first forty customers appear below with who is skipped and why.

3. The Email

Write a Subject and the Email. Both are required. The chips insert tokens:

The preview renders them with sample values. Send Me A Test delivers the email to your inbox with a [TEST] banner. An unsubscribe link is added to every marketing email.

4. Review & Build

Four cards summarize the campaign with Edit links back to each step. Choose Send Emails To (every email on file is the default for marketing) and when the batch goes out, then click Build Customer Roster. Nothing sends yet.

Skipped rows show why: no email on file, unsubscribed, or over the cap. Exclude rows one at a time or in bulk, then click Review & Approve for the pre-send checks and the exact email the first customer will read. Approve, and the batch sends on approval or at the time you chose.

Verify it worked

Open the campaign. How Customers Responded counts delivered, not delivered, and sent, and the roster shows the same per customer. Export CSV takes the whole list to a spreadsheet. Failed rows can be retried without touching anyone who succeeded.

Frequently asked questions

Does building a campaign send anything?

No. Build Customer Roster lists every customer the campaign would email and stages them for you. Nothing reaches a customer until you click Approve on the roster and pass the pre-send checks.

Which tokens can I use?

{firstName}, {customerName}, and {companyName}, with single braces. Anything else is flagged before you can build.

What happens to customers who unsubscribed?

They are skipped on the roster with the reason, and checked again at the moment of sending, so an unsubscribe between build and send still wins. Every marketing email carries an unsubscribe link.

Why does the builder say I have used my campaigns for today?

Each company has a daily limit on marketing campaigns. The first step shows how many you have used. Ask OpsVara support if you need it raised.

Is a greeting added for me?

No. The email is sent exactly as written, under your logo. Start with "Hi {firstName}," if you want one.

What does Delivered mean?

The mail provider confirmed the handoff to the customer's mail server. Opens are not tracked. Bounced and suppressed mean it did not arrive.
