Get a Daily Heads-Up on Upcoming Jobs

Email and notify the office each morning about jobs a few days out that match what you watch for — tags, irrigation, first visits, unassigned work, and more.

Upcoming Work Digest sends the office a short list each morning of jobs coming up in the next few days that need a heads-up: a site whose pond water is used for irrigation, a customer tagged Call Ahead, a first visit at a new property, work nobody is assigned to yet. You decide what to watch for and which office roles hear about it. It lives under SettingsAutomationsManagers & Admins.

Each rule is called a watch. A watch has a name, how many days before the visit to warn you, who gets it, and the conditions a job must meet.

  1. Open the automation

    Go to SettingsAutomationsManagers & Admins and find Upcoming Work Digest. Turning it on the first time opens the setup window, because a digest with no watch has nothing to send. Later, use Configure.

  2. Choose delivery

    Tick Email the digest, In-app notification, or both. Send After (Local Time) defaults to 7:00 AM in your company time zone. The digest goes out within a few minutes after that time, once a day.

  3. Add a watch

    Click New Watch, or click one of the suggestions under Start from a suggestion to begin with a ready-made one for your industry. You can keep up to 12 watches.

  4. Name it and pick the timing

    Give the watch a Name — it is the heading in the email. Set Days Before the Visit, from 0 (the day of the visit) to 30.

  5. Pick who gets it

    Under Send To, tick Admin, Office Manager, and/or Office Worker. New watches start with Admin and Office Manager.

  6. Pick the conditions

    Choose what a job must match (see the tables below). Leave a section alone to skip it. A watch with no conditions lists every job scheduled that day.

  7. Check it with Preview Matches

    Click Preview Matches at the bottom of the watch. It runs the watch against today's schedule and shows the jobs it would list, with the reason each one matched. Nothing is sent.

  8. Save

    Click Done on the watch, then Save. Each watch has its own On/Off switch if you want to pause one without deleting it.

What a Watch Can Look For

A job is listed when it matches every condition you set. When one condition has several choices ticked, any one of them is enough. Only jobs still Scheduled or Scheduled - Delayed are considered, and jobs at archived sites are skipped.

The Work

First Visit at the SiteThe site has no completed visit yet and no last-visited date.

Customer & Site

ConditionA job matches when
Has TagThe customer or site carries any of these tags. Tag Must Be On narrows it to Customer only or Site only.
Does Not Have TagNeither the customer nor the site carries any of these tags. Use it to leave out, for example, customers tagged No Reminder.
Customer TypeThe customer is one of the types you pick (Residential, Commercial, HOA, and so on — your industry's list).
Site TypeThe site is one of the types you pick (Lake, Pond, In-Ground Pool, Commercial Property, and so on).
Past-Due BalanceThe customer has an invoice that is past due, or sent and past its due date with a balance.
Site on Service HoldThe site is on hold on the visit date.
Open Issue at the SiteA reported issue at the site is still open. Shown when Issues is on.
Site Has EquipmentThe site has active equipment of any kind you pick. Shown when Equipment Tracking is on your plan.

Type a tag, then press Enter

Tags are added when you press Enter or pick one from the list. A tag you type and then click away from is added too, so it is never lost on Save.

The window only shows the conditions that fit your industry.

Who Gets What

  • A person receives the digest when their role is ticked under Send To on a watch that found jobs. They see only those watches — an Office Worker never sees a watch aimed at Admins.
  • Email the digest sends one email covering that person's watches. Each job number links to the job, and Open in Jobs opens the Jobs list for that day.
  • In-app notification adds one bell notification, Upcoming work: N jobs to review, naming the first few job numbers for each watch. Anyone can turn off the bell for themselves: untick In-App for Upcoming work digest under SettingsNotifications.
  • A day where no watch matches anything sends nothing.

Each watch looks at one day

A watch set to 2 days looks only at the jobs scheduled exactly two days from today. A job moved onto that day after the digest went out is not added later. For an early and a late heads-up, make two watches — for example 7 days and 2 days.

Verify It Worked

  1. Open the watch and click Preview Matches. The count and the list are what the next digest will send for that watch, as of today's schedule.
  2. The morning after you save, check the bell and your inbox after the send time. The email subject reads Upcoming work: N jobs to review.
  3. Open a job from the email and confirm it meets the watch's conditions.

Frequently asked questions

Who receives the digest?

Every active user whose role is ticked under Send To on at least one watch that found jobs that day. Each person only sees the watches aimed at their role. Only Admin, Office Manager, and Office Worker can be picked; field crews never receive it.

Why did nothing arrive this morning?

A day where no watch finds a matching job sends nothing, on purpose. Open the watch and click Preview Matches to see what it would list today. Also check the digest is On, the watch's own switch is On, and your role is ticked under Send To.

Can I stop the bell notification for just me?

Yes. Untick In-App for Upcoming work digest under Settings → Notifications. The email is set for everyone at once with Email the Digest in the automation, not per person.

A job was moved onto the day after the digest went out. Will it show up?

Not in that day's digest. Each watch looks at exactly one day — today plus its Days Before the Visit. Add a second watch with a different number of days if you want an early and a late heads-up.

Do all the conditions have to match, or any of them?

All of them. Inside one condition with several choices (for example two tags or two work types), any one of those choices is enough.
