Add or Remove a Site on a Contract
Put another site on a running contract, or take one off, without changing what the customer pays.
On a contract's page, the Customer & Sites card has Add Site, and a ✕ next to each site except the first. Use them when a property adds or loses a body of water mid-season — a new spa, an extra pool, a pond that is filled in.
Both only go ahead when the money does not move: the contract total, the typical invoice and every planned invoice stay exactly as they are. Nothing is sent to the customer.
Who can do this
Company admins and office managers — the same people who edit Service Scope — on a contract that is Active or Paused.
Add a Site
Open the contract
Go to Sales and BillingContracts and open the contract.
Click Add Site
On the Customer & Sites card, click Add Site. The list shows the customer's other active sites. A site that is not there yet has to be added to the customer first.
Tick the site and read the check
Tick one or more sites. OpsVara checks the change right away and shows:
- What the customer pays — the contract total and typical invoice, before and after. They must match.
- Applies to — the lines that will cover the new site: Included lines, and add-on lines priced for the whole contract.
- Does not apply to — every other line, with the reason. A line priced per site, priced site by site, billed per visit, or billed each time it is done would bill the customer more, so it stays off the new site.
Click Add Site
Add Site is available only when the check passes. The site joins the contract and is billed nothing.
No visits are created right now. If your schedule creates visits automatically for this kind of work, it adds the new site's visits on its next run. Otherwise, put the site on a route in Dispatch → Saved Routes. If the contract bills chemical usage, chemicals used at the new site are billed the same way as at the other sites.
To charge for the new site
The dialog links to an add-on quote whenever a line was left off the site or the check refused. The link opens a new quote for this customer with the contract's main site ticked; choose Add these services to the existing contract and quote only the new site's services. An add-on quote handles a site added mid-term — it bills from the first month that has no invoice yet — which is why the dialog itself never prices the site.
Remove a Site
Click the ✕ next to the site
The first site is the contract's main site and has no ✕.
Review the check
The dialog shows the money before and after, plus:
- Upcoming visits at that site on this contract. Ticked visits are cancelled when you remove the site. A visit already on an invoice is kept.
- Saved routes that still stop here. Removing the site does not change routes; take it off them in Dispatch → Saved Routes.
Click Remove Site
Remove Site is available only when the check passes.
Visits already done at the site are not listed and still bill as usual.
When the check refuses
| The dialog says | What to do |
|---|---|
| This would change what the customer pays | A line would start or stop billing. To charge for a new site, send an add-on quote. |
| This site still has a price on the contract | Take the price off that site first, under Per-Site Add-Ons or Service Scope, then remove it. |
| … is the contract's main site | Copy the contract onto another site instead. |
| … is already on another contract for the same work and dates | Remove it from that contract first. |
| … isn't a pond / lake / … | The site is the wrong kind for this contract's work. |
| This contract covers 2 properties and bills after each visit | OpsVara can't bill that shape yet. Bill it monthly, or make one contract per property. |
| This contract bills by the visit, and its visits are created automatically | Each visit at the new site would be billed. Send an add-on quote instead. |
| … has a permit fee | This contract bills each lake's permit on an invoice, so the fee would come or go. |
| This contract is billed when the work at every site is done | A new lake would hold the round's invoice until it is treated too. Send an add-on quote instead. |
| The customer discount "…" applies only at some of this customer's sites | The change would move which invoice lines the discount covers. Change the discount's sites on the Customer Discounts card first, then try again. |
| … finished visits whose chemicals haven't been billed yet | This contract bills chemicals used at its sites. Before adding a site, invoice its earlier visits; before removing one, wait until its chemicals are billed. |
| This contract's planned invoices are out of date | The saved plan no longer matches the contract's pricing or schedule, even before your change. Ask OpsVara support to check the contract. |
| This contract changed since you opened this | Close the dialog and open it again. |
Site Changes
Each change is listed under the site list, newest first — for example, "Acadia Spa added Oct 12, 2026 by Lori · 2 visits cancelled". The site's name is kept as it was at the time, so the line still reads right after the site is renamed or archived.
The next term does not get the change
On an Ongoing plan whose next term already exists, the change stays on this term. The page says This change did not reach the next term, and the next term shows Check this contract's billing, so its automatic invoices wait. Open the next term, add or remove the site there too, then click Totals checked — resume billing.
Frequently asked questions
Will the customer be billed for the site I added?
No. Add Site only goes ahead when the contract total, the typical invoice and every planned invoice stay exactly the same, and lines priced per site do not start applying to the new site. To charge for it, send an add-on quote and choose Add these services to the existing contract.
Does adding a site create visits?
Not right away. If your schedule creates visits automatically for this kind of work, it adds the new site's visits on its next run. Otherwise, add the site to a route in Dispatch → Saved Routes, or schedule its visits by hand.
Why can't I remove the first site?
The first site is the contract's main site, and much of OpsVara reads it. Copy the contract onto another site instead.
Remove Site says the site still has a price. What do I do?
A line on the contract still charges for that site. Take the price off that site first — untick the line for the site under Per-Site Add-Ons, or change the line in Service Scope. That edit handles the money; then remove the site.
I removed a site. Are its finished visits still billed?
Yes. Only upcoming visits are offered for cancelling. Visits already done stay on the contract and bill as usual.
The dialog says This contract changed since you opened this. What happened?
Someone (or an automatic step) saved the contract after you opened the dialog. Close it and open it again; the check runs on the latest version.
