Take Payments on Your Website

Give your website a Pay Now page. Customers pay an invoice by its number, or pay without one by card, and you match those payments to an invoice or a contract.

Updated October 18, 2026

The Website Pay Page is a Pay Now page for your own website, at your own link. A customer enters their invoice number and the ZIP code or email on the invoice, and pays that invoice by card or bank. The payment lands on the invoice on its own, exactly like paying from the invoice email. You can also let customers pay without an invoice number, for deposits or when they have lost the invoice. Those payments wait under Sales and BillingPayments until you match each one to an invoice or a contract.

Before you start: turn on Online Card / ACH and connect Stripe under SettingsBilling. The page takes online payments only, so it is not offered to a company that takes checks only. Only company admins can open the Billing tab.

Turn It On

  1. Open the Website Pay Page card

Go to SettingsBilling and scroll to Website Pay Page.

  2. Switch it on

Tick Turn on the Website Pay Page. It saves right away. The box is greyed out until you take online payments and Stripe can take charges.

  3. Add a message (optional)

Type a short note in Message at the top of the page (optional), for example who to call about a bill, then click Save Message. Customers see it above the form.

Put It on Your Website

The card shows your page's link, for example https://opsvara.com/pay?tenant=your-company.

Embedded forms open payment in a new tab

When the form sits inside your website, the invoice and Stripe's secure card page can't load inside your page. After the customer finds their invoice or fills in the form, they click Continue to Payment (or Continue to Secure Payment) and it opens in a new tab.

How Customers Pay an Invoice

  1. The customer enters the Invoice number and the ZIP code or email on the invoice, then clicks Find Invoice. The number can be typed loosely: 42, inv42, INV-42 and INV-00042 all find INV-00042.
  2. When both match, the invoice's own pay page opens. They see the invoice and pay by card or bank, with the same card fee as your invoice emails. The payment is applied to the invoice.
  3. If nothing matches, they see "We couldn't find an invoice with that number and ZIP code or email. Check both and try again."

A paid invoice still opens and shows that it is paid. Drafts and void invoices never open.

Let Customers Pay Without an Invoice Number

  1. Switch it on

On the Website Pay Page card, tick Let customers pay without an invoice number.

  2. Set the limits and the question

Smallest payment ($) starts at $10 and Largest payment ($) at $10,000. Limits can be anywhere from $0.50 to $50,000. Question customers answer starts as "What is this payment for?". Click Save Limits.

The page then offers two choices: I have an invoice number and I don't have an invoice number. The second asks for the Amount, first and last name, an optional business or HOA name, Email (for your receipt), an optional phone, service address and invoice number(s), and the answer to your question. Before they continue, it shows the payment, the Card processing fee and the Total charged. They pay on Stripe's secure card page.

  • Card only. Bank payments take days to clear, so they are not offered here.
  • The card fee is added, the same as on your invoice pay links. If card surcharging is off for your company, your pay pages take no cards, so this choice is unavailable.
  • The customer gets an email receipt with a reference number such as WP-00012, what they said it was for, and the card used. It follows the Payment receipt email setting under SettingsCustomer Notifications.

Match Website Payments

When a payment comes in without an invoice number, office staff get a Website payment to match alert (bell and push, by each person's SettingsNotifications). The payment waits at the top of Sales and BillingPayments under Website Payments to Match, with who paid, the amount, the card, what they said it was for, and any invoice number they typed.

OpsVara suggests a match when it can: an open invoice with the number they typed, or the customer whose email or phone matches, with that customer's invoice for the same amount. A suggestion is never applied on its own.

  1. Open the payment

    Click Match Payment.

  2. Choose where it goes

Pick An invoice or Credit on a contract, then search. Invoices are searched by number or customer, and only open invoices (sent or past due) are listed. A suggested invoice is already picked.

  3. Read the preview

OpsVara says what will happen, for example "$340.00 pays INV-00042 in full." or "$125.00 becomes prepaid credit on Weekly Pool Service (River Oaks HOA)."

  4. Apply

Click Apply to Invoice or Add as Credit.

Once applied, an invoice payment shows on the invoice and in the Payments list below like any card payment, dated the day the customer paid, with the method Website Pay Page. A contract credit shows on the contract as a Card (Website Pay Page) prepayment and is used on that contract's next invoices. The payer is not sent a second receipt. Tick Show matched to see where earlier payments went.

If the payment is…What happens
Less than the invoice balanceIt goes on the invoice and the rest is still due.
More than the balance, on a contract invoiceThe invoice is paid in full and the extra becomes credit on that contract.
More than the balance, on any other invoiceThe invoice is paid in full and the extra stays on it as received but not applied. Refund the extra in Stripe, or choose a larger invoice.

Send a draft before you match to it

A payment can't be applied to a draft. Send the invoice first. It also can't go on an invoice with a bank payment still processing, or on an invoice that is already paid.

Refunds and Disputes

OpsVara never moves money back. Refund a website payment from your Stripe dashboard, as you would any card payment. When Stripe reports the refund, an unmatched payment shows Refunded and can no longer be matched. A matched payment is handled like any card payment on its invoice; see See where your payments went. A payment the card holder's bank is disputing can't be matched until the dispute closes.

The Pay Online QR Code on Invoices

Unpaid invoices you have sent print a Pay Online box with a QR code and the invoice's pay link, on the invoice PDF and in the office print preview. A customer who gets a paper invoice can scan it and pay that invoice from their phone. It shows only while you take online payments, and never on drafts, paid invoices or void ones.

It is on unless you turn it off: untick Print a Pay Online QR code on invoices on the Website Pay Page card. Invoice PDFs made before you change it keep what they had until they are made again. While customers can't pay online (you take checks only, or Stripe isn't connected yet), the box shows unticked and greyed out, and no code prints.

Verify It Worked

  • Click Open Page, enter one of your sent invoice numbers and its customer's ZIP code, and check that the invoice opens.
  • With paying without an invoice number on, make a small payment yourself. Check that you get the receipt email and the office alert, and that the payment waits under Website Payments to Match. Match it to a test invoice, then refund it in Stripe if you like.
  • Open the PDF of a sent, unpaid invoice and scan the Pay Online code with your phone.

Frequently asked questions

Can someone see a customer's invoice just by guessing invoice numbers?

No. A number alone never opens an invoice. The customer also has to enter a ZIP code or an email address that is on file for that customer or one of the invoice's sites. A wrong number, a wrong ZIP, a draft and a void all get the same answer, "We couldn't find an invoice with that number and ZIP code or email." The page also limits how many tries one computer can make.

Which ZIP codes and emails count?

The billing, primary and second addresses on the customer, the address of any site on the invoice, and every email and secondary email on the customer's contacts.

Can customers pay by bank (ACH) without an invoice number?

No, card only. A bank payment takes days to clear and can still fail, so you could not safely match it right away. Customers who pay an invoice by its number get the invoice's own pay page, which offers card and bank as usual.

Why is there a smallest payment?

Stolen-card testers run cards through public payment forms at a dollar or two to find the ones that work. A $10 minimum makes your page a poor target. You can lower it, down to $0.50.

How do I refund a website payment?

In your Stripe dashboard, the same as any card payment. OpsVara records the refund when Stripe reports it. An unmatched payment then shows Refunded and can no longer be matched.

Do I have to turn on the page to get the QR code on invoices?

No. The Pay Online QR code on invoices is its own switch on the same card and is on unless you turn it off. It shows on unpaid invoices while you take online payments.

The customer typed an invoice number but it isn't suggested. Why?

Suggestions only name an invoice that is open (sent or past due) and the only one with that number. A draft is never suggested; send it first, then match the payment to it.
