Invite Customers to the Portal

Send a portal login so a customer can approve quotes, view invoices, and turn on autopay.

Requires the Customer Portal feature. If you do not see it, ask your OpsVara contact whether it is enabled for your account.

A portal user logs in at the customer portal with their own email and password. They are not the same record as a Contact. One portal user can belong to more than one customer (for example a property manager).

  1. Open the customer

    Go to DirectoriesCustomers, open the account, and click the Portal tab. The header is Customer Portal.

  2. Invite a user

    Click Invite User. The dialog is Invite a Portal User. It prefills the primary contact — edit the name and email if this invite is for someone else. Choose a Role: Viewer, Payer, or Owner (Owner is the usual primary billing contact). Click Send Invite.

  3. Confirm email can send

    Portal invite mail uses SettingsCustomer Notifications. If Portal invite email is off, the invite is still created but you will need to share the link yourself.

Roles do not lock the portal yet

Viewer, Payer, and Owner record intended responsibility. Portal actions are not currently restricted by role.

You can also invite automatically under SettingsAutomationsCustomer CommsCustomer Portal Invites (new customers, and/or a one-time sweep of accounts with no portal user).

SettingsCustomer Portal controls what signed-in customers see (for example visit visibility by work type).

Verify it worked

The Portal tab lists the user. They can sign in at /portal/login with the email that received the invite. Resend Invite is on that same row if they lost the message.

What to do next

They can approve quotes and pay invoices from the portal. Autopay is turned on under portal Billing.

Frequently asked questions

I clicked Send Invite but they got no email.

Enable email for **Portal invite** under Settings → Customer Notifications. You can still copy the link from the customer Portal page and share it yourself.

Do they need a portal account to sign a quote?

No. Send To Customer emails a link they can sign without logging in. The portal is for returning customers who pay, approve, and see visit history in one place.
