Review Leads Your Crew Spots in the Field

Technicians send prospects they drive past, with a photo and a map pin, to your Leads page. Qualify or pass on each, attach it to a customer you serve, map them, and export a mail list.

Updated October 22, 2026

Your crews drive past more prospects in a week than your website sees in a month: a green pool from the street, an algae-choked pond behind a subdivision, a dandelion lawn, a competitor's truck in a driveway. With Field Leads, a technician opens the OpsVara field app, takes a photo, the app drops a map pin, they choose what they saw, and the lead lands on Sales and BillingLeads for you to review. Everything after that is the lead pipeline you already use.

Field Leads is on for every company. Nothing is sold separately for the capture, the review, the map, or the mail list. Paying technicians for leads they spot, and paying office staff for leads they convert, is part of Worker Compensation and is covered in its own article when it ships.

What arrives

A field lead is an ordinary lead with Source: Field and a Field capture card at the top of its details. The card shows:

  • The photos the technician took, up to five.
  • The chips they chose for what they saw. The list is specific to your line of work: an aquatic company sees Algae bloom, Surface weeds / duckweed, Fountain / aerator down; a pool company sees Green or cloudy pool, Damaged cover, Equipment visibly failing; lawn and pest companies have their own. Every list includes Competitor sign or truck, because a win-back is the most valuable thing a route finds.
  • Their note, and whether they Spoke to someone. When they did, the person's name, phone, and email are on the lead like any other, and if the person agreed to texts the consent is recorded.
  • Who spotted it and when, a link to open the pin in Google Maps, and a size estimate when they measured the pond, lawn, or pool on the satellite view.
  • Near a customer we serve with the distance, when the pin is close to one of your existing sites. That is your "we already care for your neighbor at …" line when you reach out.

The first chip the technician chose sets the lead's work type, so the list and the board already know what it is about. Until you review it, the lead carries a Field · needs review badge and counts in the Needs review tile above the list; choosing that tile filters the list to just those (the filter stays in the URL like the others).

Why a review step

A lead that pays the person who spotted it needs a human to agree it is real. Nothing is paid, and no follow-up sequence starts, on a lead nobody at the office has looked at. The review also catches duplicates and properties you already serve before they become twins in your customer list.

  1. Open the queue

On Sales and BillingLeads, choose the Needs review tile, or filter Source to Field. Open a lead to see its Field capture card.

  2. Qualify it

Choose Qualify when it is a real opportunity you want to work. You become the owner unless you pick a teammate, the work type is pre-filled from the chips and can be changed, and you can add a note. A lead that is still New moves to your Qualified stage. The technician is told their lead was qualified.

  3. Or pass on it

Choose Pass and pick a reason: Duplicate of another lead, Already a customer, Outside our service area or not something we do, Not a real opportunity, or Other, with an optional note. "Not a real opportunity" closes the lead as Spam; every other reason closes it as Lost. The technician sees the reason you chose.

  4. Attach it to a customer you already serve

When the address turns out to be an existing customer's site, choose Attach to customer and pick the customer and, if you like, the site. The lead becomes an opportunity for that customer; quoting it and converting it link to them instead of creating a second customer record.

  5. Work it like any lead

From here the lead follows the pipeline: give it an owner and a value, keep the story under Activity, send a quote with Convert & Quote. When the lead is attached to an existing customer, the convert dialog offers Link to existing customer first and the button reads Link customer; choose Create a new customer only for a genuine new prospect. When a field lead converts, the technician who spotted it is told it became a customer.

Moving a field lead on the board counts as reviewing it. Dragging a pending lead to any open stage qualifies it; dropping it on Lost or Spam passes on it with the reason Other (or Not a real opportunity for Spam).

Map and mail list

Most field leads arrive with an address and a photo but no name or phone. Choose Map in the Board / List / Map toggle on the Leads page to see every field lead as a pin, coloured by where it stands: amber waiting for review, green qualified, grey passed, blue converted. Click a pin for the name, address, chips, spotter, and Open lead. Filter by review status and No contact yet; the page's Submitted date range applies too.

Export mail list (CSV) downloads the leads in the current filter with the street address, city, state, and ZIP first, what the technician saw, whether they spoke to someone, any phone or email, the note, and the neighbor line: the customer you already serve nearby and how many feet away they are. Use it for postcards, door hangers, or a canvass sheet for the next route day. A field lead that has an email also enters your lead nurture sequence like any other lead.

Settings

Field capture next to Edit stages on the Leads page (company admins and office managers) controls how the capture works for your company:

SettingDefaultWhat it does
Technicians can send leads from the fieldOnTurns the capture off entirely when you are not ready for it.
Require a photoOnA capture must include at least one photo.
Observation chipsAll onUncheck a chip to hide it from the app. Chips whose work type you have turned off are hidden on their own.
Team leaderboardOffShows technicians how they rank on leads spotted and won; Show dollar amounts controls whether awards are visible on it.
Nudge the office after N hours unreviewed48Puts a second New lead reminder on the bell when a field lead has waited this long; 0 turns it off.

Notifications

A new field lead rings the bell for office staff the same way a website lead does, under the New lead notification preference, with a push to the field app when your company has Sales Pipeline. The Field lead still waiting for review reminder uses the same preference. Technicians have two preferences of their own, A lead you spotted was reviewed and A lead you spotted was won, both on by default.

Verify it worked

Qualify a field lead. Its badge changes from Field · needs review to Field, the Needs review tile drops by one, the top entry under Activity reads "Qualified by the office" with your name, and the lead sits in your Qualified stage with you as its owner.

If something is off

A technician says the app refused their captureThe property is within about a hundred feet of an open lead or an existing customer's site; the app shows which. They can attach it to the customer, add to the existing lead, or send it anyway.
Field capture is missing from the Leads pageYou need the company admin or office manager role.
The lead has no street addressThe pin could not be matched to a rooftop. The map pin is still exact; add the address from the lead's details.
A chip the technician mentions is not on your listIt is unchecked under Field capture, or its work type is turned off under Settings → Work Types.

Frequently asked questions

Why does a field lead have a name like "Property at 12 Lake Rd"?

The technician drove past it; nobody knows who lives there yet. The app placed the pin and looked up the nearest street address, and that address stands in for the name. "Property near" means the lookup found the road but not the house number, so the address is not marked validated. Correct the name from the lead's contact details once you know it.

Does qualifying a lead change its stage?

A field lead that is still New moves to your Qualified stage when you qualify it, and it gets an owner (you, unless you choose someone else). A lead you had already moved stays where it is.

What if the technician spotted something at a customer we already serve?

The app offers the nearby customer while they capture it, and the lead arrives attached to that customer and site. You can also attach any lead to a customer yourself with Attach to customer. Converting such a lead links it to that customer instead of creating a second one.

Can a technician send the same property twice?

A second capture within about a hundred feet of an open lead is stopped with the existing lead shown; the technician can still send it anyway, which is why Pass has a Duplicate reason.

Do technicians see what happened to their leads?

Yes. When you qualify, pass, or convert a lead, the technician who spotted it gets a notification in the field app with the outcome and, for a pass, the reason you chose.
